Cancellation & Refund Policy
At The Experience, we understand that plans can change. While we strive to offer flexibility, many services we provide are pre-booked and governed by the cancellation policies of airlines, hotels, and activity providers.
This page outlines our standard cancellation and refund terms for international tours and travel services.
Tour Cancellation Policy
Date of booking upto 65 days before departure: 50% of Tour cost
64–35 days before departure: 75% of tour cost
Less than 35 days: 100% of tour cost (no refund)
Note: Cancellations during blackout dates, peak seasons, festivals, or special event periods may attract 100% cancellation charges regardless of notice period.
Airline Cancellation Policy

Airline tickets are governed by the fare rules of the respective carrier.

Refunds, if any, will be subject to airline policies plus a processing fee of ₹500 per ticket.

Some discounted fares may be non-refundable or carry hefty cancellation penalties.
Visa & Service Charges

Visa fees are 100% non-refundable once the application is submitted.

Service charges paid to embassies, consulates, or visa agencies are also non-refundable under any circumstances.

Re-application requires full payment of fresh charges.
Non-Refundable Services
Certain services, once booked, carry 100% cancellation charges, including (but not limited to):

Entry tickets (theme parks, museums, activities)

Rail passes or fixed-date train tickets

Hotel bookings during exhibitions, festivals, or special events

Group departures or fixed departures

Travel insurance policies
Clients will be informed of such non-refundable items during the quotation or booking stage.
Amendment & Rebooking Charges

Date changes, hotel changes, or flight rebookings are treated as new bookings and may incur amendment charges based on supplier policies.

All such changes are subject to availability and must be requested in writing.
Refund Processing

Eligible refunds will be processed only after receiving the same from respective suppliers.

The refund amount will be net of cancellation charges, bank charges, and service fees.

Refunds typically take 30–60 working days from the date of written cancellation.
Refunds Will Not Be Provided For

Unused services or no-shows during the tour

Delays, missed connections, or disruptions caused by the traveller

Travel cut short due to personal reasons (medical, visa rejection, etc.)

Visa refusal (after application submission)

Force majeure events (weather, strikes, natural disasters, pandemics, etc.)
Important Notes

Making a booking with The Experience implies that the client agrees to this cancellation & refund policy.

We act as a travel intermediary and are bound by the policies of airlines, hotels, DMCs, and third-party suppliers.

Refunds are not guaranteed unless received from the concerned provider.
